The Registrar’s Offices Workshop and Seminar Committee, in collaboration with the Peer Review Committee, recently organized a “Memo Writing Clinic” for Senior Members of the Registrar’s Offices at Kwame Nkrumah University of Science and Technology (KNUST). The workshop, held on Friday, 2nd August 2024, at the Gardiner Conference Room, aimed to enhance the memo-writing skills of participants, particularly in preparing documents for promotions.
Deputy Registrar of the Human Resource Development Division (HRDD), Mr. Yaw Owusu-Asamoah, addressed the workshop, highlighting a recurring issue where Senior Members have submitted essay-like memos that require extensive review time. He emphasized that the clinic was necessary to equip Senior Members with the skills to write clear and concise memoranda, ultimately streamlining the review process.
In his presentation, Mr. Owusu-Asamoah underscored the significance of memoranda within academic institutions. He noted that these documents serve as vital tools for proposing new ideas, influencing policy changes, and addressing institutional challenges.
He stressed that well-crafted memos can set the stage for policy initiation, raise pertinent issues, and present research findings that contribute to the university’s growth. He also outlined the key elements of an effective memorandum, including a concise title, a clear problem statement, and actionable recommendations.
He advised participants to avoid rushing through the writing process and to ensure their memos are thoroughly reviewed by colleagues before submission. Additionally, he provided guidance on the submission process, emphasizing the importance of both hard and soft copies and the need for signatures.
During the interactive session with the Peer Review Committee, Senior Members were encouraged to continually enhance their knowledge as Administrators by reading widely. The committee members also urged participants to adopt a structured approach to memo writing, which would reflect professionalism and improve the quality of their submissions.
This workshop reflects KNUST’s commitment to fostering professional development among its staff, ensuring that administrative processes are conducted with efficiency and precision.
